Technical supply / Exhibition services

Please read thoroughly the following information regarding the various order categories:

With the booked exhibition space you only booked the naked space. All services as e.g. power supply, carpet, walls, rental furniture, shell scheme stands, stand cleaning can be ordered via the RAI online shop. In case you do not set-up your own individual stand we recommend booking a shell scheme booth.

Login procedure:

You are registered in the RAI system with the email address you indicated to ERS/Interplan. On the login page you use your email address as username and generate an automated password that will be sent to you to your email address. Once you have received that password you login another time. This password will be valid for every login in the shop.

In case you should face any difficulties with the order process please contact the RAI service exhibitorservices@rai.nl .

Please note that it may take up to 3 days to have the new account registered in the RAI database.

Please be informed, that the ordered stand equipment will be handed over at the stand on Saturday September 27, 2025 starting from 08:00.

The first registration may take 1-2 days.

Please refer to the order options at the RAI online shop. 

Note that the official caterer is RAI. It is not allowed to book an external caterer.

Exception: It is allowed to bring in your own barista service incl. coffee machines. If you plan to work with your own barista please hand in following HACCP document to RAI.

Any catering activities planned by the exhibitor must take place in the exhibition area and within the official hours of the exhibition. Sufficient storage and serving space must be planned ahead of time and must be within the rented space. These activities, which must be kept at reasonable levels, cannot take place in the aisles and should take place in a way that does not disturb neighboring stands and the overall appearance of the exhibition.

The ERS/PEO reserve the right to cancel/stop such activities should it be deemed necessary, without incurring any responsibility or liability for compensation to the exhibitor. The exhibitor may not sell or prepare food on the exhibition stand.

Adequate disposal/garbage facilities need to be planned by the exhibitor within the rented space..

Additional hospitality functions

The ERS would be grateful for notification of hospitality functions planned by exhibitors during the meeting in order to avoid any duplication in timing and to enable the appropriate briefings to be issued to meeting staff.

Participant catering

No official lunches / refreshments will be provided for participants. Facilities include cafeterias and restaurants at the Messe Wien.

Build-up and dismantling of catering

Coffee, tea, refreshments, light snacks and sandwiches during build-up and dismantling times will be available on a cash-only basis at a bistro bar in the venue. In addition, there are various restaurants around the venue.

Please bear in mind that every person including hostesses/baristas etc. in the exhibition needs to wear an exhibitor badge that can be ordered via Interplan. See registration section here.

Alcohol is strictly prohibited.

The organiser is only responsible for the general cleaning of the exhibition hall (aisles and public areas) during the meeting, not for the exhibition stand. Different types of stand cleaning can be ordered via the venue online shop.

Every Exhibitor will be charged with an obligatory flat fee for normal waste disposal during the set-up and dismantling time. The cost is 4€ per sqm. Additional waste like disposal of the wooden floor or bulky construction material must be ordered via the venue online shop. 

The organizer does not allow the exhibitor to put any waste in the aisles during the exhibition opening hours.

Prior to the opening of the exhibition and at the end of each day, the corridors in the exhibition hall will be cleaned. If exhibitors require stand cleaning after the set-up of the stand and during the event, please order this service via the webshop.

The ordered shell scheme stands and equipment will be dismantled from the beginning of dismantling Tuesday 30 September 2025 17:00 pm on, please make sure to take your valuables with you.

Company profile on official ERS virtual congress platform

Each exhibitor can order a virtual company profile on the virtual platform. The profile is not automatically included! Check directly with the ERS Team the options.

Company owned Congress App

Sponsors are welcome to develop their own app to support their own activities at the congress for their sponsored participants, visitors to their stands and participants in their own symposia.

Sponsor’s apps should not be publicly promoted during the congress, other than in support of the activities listed above.

Sponsor’s apps must not duplicate, augment or seek to replace any of the functionalities of the official congress app and are not permitted to use or record any content of the ERS Congress programme that is not the sponsor’s own.

Electricity:

The indicated costs in the online shop include power consumption. 

The ordered power connection is running from the last set-up day. If you need the power earlier you can order “Build-up and Dismantling powerseparatelly via the RAI shop.

There is a differentiation for day-time and 24hours power connections. Please pay attention when ordering in the shop. The regular daytime power goes from 08:00 – 20:00. 

Note: Continuous power can only be purchased in combination with daytime power. This means  that ordering continuous power only, does not provide you with electricity during the day!

  • The Exhibition hall has NO service channels. In the hall service points are evenly distributed every 6 meters. Interplan recommends to the Exhibitor to build a raised floor to cover the electric mains.
  • Exhibitors/Stand builders are not allowed to connect anything directly to RAI Amsterdam electricity supply in the floor openings.

It is possible that neighboring stands are supplied with technical connections from the floor opening / channels that is not on their booked space but on other exhibitors’ space, which is not always possible to prevent. If that should be the case, no price reduction can be claimed.

Water supply:

Water connections are supplied by the floor openings and can be ordered via the RAI online shop. In case you plan with a water connection we recommend a raised floor. Exhibitors/stand builders are not allowed to connect anything directly to RAI water supply.

Exhibitors wishing to order any audio-visual such as video players with monitors, computers or sound systems should order via the RAI online shop.

Rigging and suspension points can be ordered via the RAI online shop.

Please bear in mind the rules indicating the height restrictions when ordering suspensions.

The maximum heights for unbranded suspended elements (6m at ERS) must be respected.

All suspended fittings and apparatus (e.g. lights, TVs sound clusters and speakers, displays rigs etc.) shall be fitted with secondary safety wires/chains and brackets. Details of layouts and weights of suspended fittings and apparatus are to be supplied to the provider and shall not exceed the load capacity of 150kg for the suspension of such items from the roof.

Attention! If you plan a complex project with high weights, many motors and drops we strongly recommend to appoint a structural engineer to make sure your calculations are correct.

Please check the specific suspension point situation regarding availability, position, and max. load at your stand location with Interplan/the service provider before you start your design work, since not every rigging request can always be realised.

ERS / Interplan cannot guarantee the feasibility of your hanging rigging structure. Check this directly with the rigging supplier.

Basic regulations for hanging structures
All materials used must be certified as compliant with European Union regulations. The number of points depends on each type of structure and the loads specific to each pavilion.

Rigging limitations / Pre-riggs
In some cases, the location of the booth may determine:

– the need to use structures to adapt the space for anchor point installation, incurring an additional cost.
– the impossibility of installing anchor points.

We recommend the use of fabric ceilings with C1 fireproof certification and 40% to 60% mesh, so as not to interfere with the smoke detection and fire suppression systems. These ceilings must also be attached to a European Union-approved framework structure.

Local stand personnel / hostesses

Hostesses and stand personell can be ordered via the RAI online shop.

Please bear in mind that every person including hostesses/baristas etc. in the exhibition needs to wear an exhibitor badge that can be ordered via Interplan. See registration information here.

Security / Stand guards

Security also can be ordered via the RAI online shop.

Each exhibitor must take appropriate measures for the safeguarding of their goods, materials, equipment and display at all times. A general security service will be provided by the ERS during the installation and exhibition period, but the security service will not be responsible for personal injury, loss and/or damage to any property from any cause. Furnishing this service shall not be construed to be any assumption of obligation or duty with respect to the protection of the property of the exhibitors, which shall at all times be the sole responsibility of each exhibitor. The PEO, the ERS and/or the Venue shall not be liable for any act or omission of such security guards.

Sufficient numbers of security staff will be present in the exhibition halls during build-up, dismantling and opening times. Exhibitors wishing to book additional overnight security guards for their stands can order these via RAI.

For security reasons, identification badges supplied to stand personnel and stand builders must be worn at all times. There will be no admission whatsoever to unauthorized personnel.

Please bear in mind that there is an early deadline for every provided service.

After this deadline a late-order fee will be charged.

Even on-site orders will be charged with a relevant mark up.

There will be an exhibitor service counter in the exhibition hall with a contact person from Interplan and the venue during set-up, dismantling and throughout the opening hours of the exhibition. The exact position will be determined at a later point.

SCHENKER can store your empty packing material during the event. Please inform SCHENKER in time about your requirements. Please note that SCHENKER cannot accept any liability for items – intentionally or unintentionally – left in packing. We will measure the packages during the exhibition and fill in the cbm. Please ask for a copy by returning and check the cbm immediately. SCHENKER will not accept any posterior reclamation. Please contact the SCHENKER on-site desk for special arrangements for storage of exhibits. Re-delivery of the empties will automatically take place after the exhibition ends. SCHENKER cannot guarantee any deadline for re-delivery.

Distribution Storage

If you do not have enough space at your exhibition booth for storing your advertising/promotion material, SCHENKER can organize storage and on-spot deliveries on a daily basis for you. Please advise SCHENKER in time.

Accessible Storage Boxes
Storage boxes inside the exhibition hall for your marketing materials can be ordered via Interplan (limited availability), o.heinke@interplan.de.

WiFi and cabled internet can be ordered via the RAI online shop.

The comprehensive ERS Wifi regulations will be provided at a later stage here.

These rules are relevant to every kind of radio transmission as WiFi networks, Microphones, cameras, light, video and intercom. Please read the policies thoroughly and return a signed confirmation to kristof.kemp@ersnet.org.

It is important to understand that perfect service is impossible to guarantee at all times. There will be times when the level of service will drop as usage increases at certain times such as lunchtime. Nevertheless, by using a central point to manage all networks we can ensure each exhibitor has the best the congress center can provide at all times and the system does not become overloaded.

In the interest of protecting the investment of every exhibitor and ensuring a successful event for all, the venue will be authorized to shut down any network that has not been set up according to the guidelines that will be published later on this year. This year the free participant WiFi will be available in the entire congress center, including the exhibition.
