General information for exhibitor registration

Note:
Every person
 in the exhibition needs to wear a name badge in order to get access. This includes, besides the regular staff from the exhibitor’s company, hired staff as e.g. hostesses, bar and service personnel etc. For security reasons, stand personnel must wear their name badges at all times.

Exhibitor registration (PRINT@HOME exhibitor badge) will start mid-July 2025.

You will receive an automatic email to start with the registration process.

The online registration must be completed NOT LATER THAN September 18, 2025.

At the RAI constructor badges are mandatory. Check the corresponding sub-chapter in the section Exhibitor Manual.

After registration, you will receive an email with pick up information and barcode. Badges are issued via badge kiosks located at the various entrances of the RAI. In addition to visitor details, the badge also contains a barcode that can be used by the visitor to exit the parking garage free of charge.

Note: Registration for a badge can also be done on site, but may involve a waiting time.

Registration onsite or in need of Safety shoes or Helmets?

This can be arranged at the Hospitality Crew Centre (HCC).The floor plan shows you exactly where the HCC is – shoes and helmets come with a charge.

During build wearing the right PPE is mandatory to enter the Exhibition floor.
Sturdy sneakers and/or (steel) shoe caps are not allowed.

There will be a Safety gear shop available in Entrance K on Friday 26th Sep and Saturday 27th Sep each day from 08:00 till 18:00 hour.
It is possible to rent or to buy the PPE.

• Rent is €5 for a helmet or a pair of Safety Shoes
• Buy is €19,80 for a pair of shoes and €10,80 for an helmet.

Each exhibitor is entitled to a number of complimentary exhibitor badges in accordance with the size of the exhibition stand as stated in the table below.

Please note that you need your registration number  from your registration confirmation.
The ticket is valid during congress days (September 27 – October 1) and does not include the travel from and to the Airport.
Costs: EUR 30 – only credit Card payments are possible
This badge is for:

All representatives and staff of the exhibitor / Local staff (hired by an agency e.g. hostesses) / Guests of the exhibitor

Registrations as active participants can be submitted electronically at http://erscongress.org/.

Industry (staff) badge

gives access to Scientic Sessions + to the exhibition outside of the opening hours of the exhibition

Each co-exhibitor is entitled to 2 complimentary exhibitor badges indicating the name of the co-exhibitor’s company. These badges entitle the holder to attend the exhibition (including access before the official opening hours), the opening ceremony and welcome reception but not the scientific sessions. 

Additional exhibitor badges can be ordered until September 18, 2025 and will be charged with 35€ net per badge plus statutory sales tax according to European regulations.

After September 18, 2025 all complimentary badges that are not claimed will be forfeit. All additional badges which are ordered after the deadline and on-site will cost 50€ net per badge (plus statutory sales tax according to European regulations).

Replacement of lost badges incurs 50€ net as an administrative charge.

Invoicing

Kindly consider that all exhibitor badges have to be paid onsite at the latest, even last minute orders at the counter. Payment per credit card onsite or credit card payment link in advance is possible. No cash payment onsite.

An invoice will be forwarded to the invoice address mentioned on the stand reservation form. Please let us know the PO number as soon as possible if necessary.

The exhibitor will be supplied with a link to the exhibitor registration webpage for submitting the corresponding names by Interplan.

The online registration must be completed NOT LATER THAN September 18, 2025.

Cancellations received after September 18, 2025 cannot be accepted and will not be refunded.

The PDF print@home Badges will be sent per mail approximately 3-4 days prior to Congress.
You are kindly asked to print out your badge in colour on A4 paper and bring it to the venue.

In urgent cases your badge can be printed at the exhibitor registration desk in the registration area.

Admission to the scientific programme

Please refer to the ERS congress website (www.erscongress.org), which provides further information and time schedules of the meeting sessions and social events.

The organisers retain the right to alter the programme and timings without prior notice.

Please note that exhibitors will not be permitted to enter the scientific sessions of the meeting unless they register as active participants or active exhibitors.
